However, sometimes you need more flexibility in managing waivers for larger groups or unexpected additions.
Here’s how you can allow more waivers for bookings and remove guest limits to better accommodate your needs.
First – Why are Waivers Limited by Guest Count?
In most cases, the number of waivers in a booking matches the number of guests on that reservation. For example:
- 5 guests for a Skydive booking = 5 waivers.
- 2 guests for an Afternoon Vineyard Tour = 2 waivers.
Once all waivers for the reservation are submitted, no additional forms can be added to that reservation.
However, there are instances where you may want to collect more waivers than that booking guest count.
For example, a Private Escape Room can host up to 12 guests, but you don’t gather this information during the booking and only gather the lead booker’s information. While you might not have the exact group size at the time of booking, you’ll still need all guests to complete a waiver!
Luckily, Wherewolf has solutions for these situations. Here’s how you can easily allow additional waivers to be submitted.
Three Ways to Allow More Waivers for Group Bookings
1. Use the “Oversubscribed” Feature
The “Oversubscribed” function allows more guests to submit waivers than the number listed in the booking. Whether it’s one guest or one hundred, this feature lets anyone use the pre-arrival waiver link connected to the original booking!
Key points:
- This feature applies to all activities on your account, it can’t be turned on for just a few activities.
- The system will hide the guest number (pax) on apps using “Oversubscribed,” avoiding confusion about the booking being for “1” guest.
- Reminder emails or texts may still be sent after all waivers are completed.

2. Set a Default Pax Size for Your Activities
Another option is to set a default pax size for activities. If you know that a “Private Charter” can accommodate up to 12 guests, you can set the system to automatically allow up to 12 waivers for every Private Charter booking. This means that, even if the guest only booked for three people, the system will always expect up to 12 waivers.

3. Gather Guest Count in Other Fields
Many booking systems offer additional fields to capture guest sizes, like dropdown menus where guests can select their group size or pax. If you’ve already set this up, Wherewolf may be able to use that information to adjust the waiver count.
